How do I change the appearance of all structures I view in the Workspace without having to change the settings each time I include something new in the Workspace?

The Workspace Style is designed to allow for customization of your Workspace appearance. Preferences can be automatically applied when the Workspace changes. Workspace Style should be on by default, but if not, look under the "Toolbars" item of the Maestro menu. The Workspace Style allows you to choose color schemes and representations (wire, ball and stick, tube, and CPK) independently for protein, ligand, water, and ions. It also has automatic ligand detection with an option to only show residues within a specific distance cutoff from the ligand. Surfaces for the ligand and/or the protein can also easily be generated.
